Overview of the position
This multi-disciplinary position oversees all activities pertinent to the Alserkal Director. The role is dynamic and exciting and suited to a highly organised, discreet, resourceful individual with the ability to multi-task and prioritise. This position reports directly to the Director of Alserkal.

Objectives
  • Act as a point of contact for the Alserkal Director for internal and external stakeholders
  • Perform a variety of administrative tasks of a highly confidential and sensitive nature
  • Consistently follow up with Alserkal team members on matters initiated by or related to the Director such as assigned tasks, projects, and important deadlines in order to ensure they are completed on time.
  • Liaise closely with the Business Operations Director on day-to-day matters as well as team scheduling, HR issues and finance-related queries
  • Liaise with Alserkal department directors, managers and key stakeholders at our group Head Office
  • Oversee all scheduling in relation to the Director’s calendar and manage changes in addition to foreseeing scheduling conflicts and changes and acting in anticipation of them.
  • Manage all travel requests and compiling detailed travel itineraries as well as scheduling while the Director is travelling
  • Responsibility for budget development, payment processing and expense filing for the office of the Director
  • Manage the process of all VIP gifts as well as thank you gifts and all related correspondence, while maintaining a gift inventory
  • Handle all correspondence directed to the Director and composing appropriate responses
  • Maintain efficient filing systems and retrieving corporate records, documents, and reports as required
  • Help prepare for meetings, recording and circulating accurate minutes and following up on action points
  • Assist as needed on special projects which are being led by the Director

Skills/ Education and Experience Requirements
  • A minimum of 3 - 5 years of previous experience working at Director/C-Suite level is essential
  • Relevant professional qualification will be an advantage
  • Proficient in Microsoft packages and Apple applications
  • Outstanding verbal and written communication skills; the ability to communicate with people at all levels and execute clear and concise business correspondence.
  • Well-developed time management skills including the ability to identify, prioritise and complete tasks and projects in an effective and timely manner.
  • A demonstrated ability to multi-task is essential.
  • Ability to make independent decisions and be able to effectively deal with pressure and tight deadlines including emergency situations which need quick thinking and swift resolution.
  • The candidate should have a friendly and positive disposition while displaying confidence and assertiveness
  • Interest in arts and culture

Position Type and Expected Hours of Work
This is a contract position for maternity cover for seven months, starting 1 September 2020. Days and hours of work are Sunday through Thursday, from 10am to 6pm, with weekend hours and/or overtime expected during times of intense workload and during special projects and events.
Preference will be given to candidates who currently have their own visa.
