Job Title: Personal Assistant
Experience: 2 to 4 Years of Experience in UAE
Age: Between 28 to 40
Gender: Male
Joining: Immediately

Job brief
We are looking for a competent Executive Administrative Assistant to provide personalized secretarial and administrative support in a well-organized and timely manner. He should be able to work on a one-to-one basis on a variety of tasks related to executive’s working life and communication.

Requirements
  • Proven experience as an executive administrative assistant, senior executive assistant or in other secretarial position
  • Full comprehension of office management systems and procedures
  • Excellent knowledge of MS Office
  • Proficiency in English
  • Exemplary planning and time management skills
  • Up-to-date with advancements in office gadgets and applications
  • Ability to multitask and prioritize daily workload
  • High level verbal and written communications skills
  • Discretion and confidentiality
  • Bachelor or Master’s degree; additional qualification as personal assistant would be considered an advantage
Responsibilities
  • Act as the CEO’s primary point of contact internally and externally & provide direct administrative support to the CEO
  • Calendar Management: Schedule and coordinate internal/external meetings and conference calls
  • Travel Management: Manage all domestic and international travel arrangements
  • Expense Management: Prepare/submit/manage expenditure report and coordinate reconciliation for expenses incurred.
  • Manage office supplies such as stationary needs, business cards and follow up on office equipment repair
  • Planning itineraries, obtaining visas, vaccinations if required, booking and managing car services as well as assisting with international meetings and conference calls
  • Plan, coordinate and complete all daily office duties
  • Assist to prepare documents, Course Completion Certificates, PowerPoint presentations and update contacts and network lists.
  • Coordinate activities and logistics with clients/outside vendors including company/team meetings, events, catering, car service orders, etc.; process invoices for payment.
  • Work directly with and provide backup coverage for other administrative support personnel as needed
