The International Participants Division is responsible for attracting, securing, servicing and maintaining relationships with the participants. IP Delivery is responsible for driving the development and implementation of the participants’ operational journey in line with Expo 2020 Dubai ‘Seamless Operations’ aspiration.
Opportunity Responsibilities

Opportunity Responsibilities
The purpose of the Coordinator – IPD Coordination Office is to support the IP Delivery team with day-to-day operations, as well as assist with interactions between IPD and Expo Functional Areas.
The main responsibilities of the roles include:
- Assist in the coordination and delivery of administration, reporting and programme management activities specifically related to IP Delivery;
- Work closely with the IPD senior leadership team, supporting them with their delivery responsibilities;
- Support and drive the Procurement activities by aligning with Procurement, ensuring weekly report and Procurement schedule is updated and issued on time;
- Act as the Division Champion in SAP: Requisitioner, Goods Receiver, Service Entry Processor;
- Ownership and management of the One-Stop Shop Service Catalogue including service level agreements;
- Overall management of IPD share drive and making sure it is organized as per business requirements and can be easily navigated during Document Control Audit and version control and management of Participant Design submissions through Acconex;
- Coordination and setup of all team knowledge sharing and internal training sessions, coordinate meeting room requests, track key stakeholder weekly meetings, produce minutes on request, and ensure the team archive minutes is up to date;
- Support management of IPD and One Stop Shop mailboxes and technical support and coordination with relevant Country Managers for assigned portfolio Participants.

Skills
- 2+ years of admin coordination experience in a corporate organization, as well as:
- A Bachelor's degree within a relevant field;
- Knowledge and experience with Microsoft Office;
- Knowledge and experience with Project Management tools and reporting;
- 2 years’ professional experience in Programme and/or Operations Management;
- Flexible attitude and being able to adapt to rapid change;
- Basic project management skills of budget, timeline and resources;
- Knowledge and experience with SAP and ACONEX.
