We are seeking a high calibre EA to support 1:1 to the COO, interfacing with a large leadership C-Suite team, managing complex relationships, and coordinating projects. The role will oversee all areas, of administration, including significant diary and travel management, Excom meeting, departmental HR responsibility, organising events and seminars and being able to effectively manage multi time zone commitments. In collaboration with the COO, there is responsibility for budgetary forecasting, projections and looking at cost saving and efficiency strategies. You will be able to manage relevant budgets, expenditure against budget and ensure prompt invoice payments.
Project management makes up a considerable part of this role and you will be a key, strategic liaison for many internal and external stakeholders, ensuring accurate reporting into the COO. You will contribute to project planning and delivery, monitoring deliverables and updating the COO and Senior Team members of any potential delays. The incumbent will have substantial access to confidential information and must always display integrity and diplomacy.
Requirements
We are seeking an experienced individual who can lead and develop the wider administrative team. There will be a constant review of the administrative system, ensuring it remains effective and works to the highest standards, making recommendations and implementing change as necessary.
Candidates must be able to demonstrate at least five years’ experience supporting at C-Suite level and experience in committee work and budget planning. We are seeking an approachable individual who takes accountability for their work and promotes a strong teamwork ethic. A strategic and analytical thinker, the successful candidate will thrive under pressure and be able to use their initiative to ensure tight deadlines are met.
A role of this nature is not a standard 9-5pm and candidates should be flexible in this regard.
