Job Title: Marketing Operations Executive / Coordinator (x 2 positions)
Reports to: Head of Mall Marketing

JOB PURPOSE
To assist and coordinate with the marketing team in all aspects of marketing covering admin, events, communication, customer service, social media and retailer coordination throughout the year in line with the marketing objectives for the team and the mall. To assist the team in producing industry best practice events execution.Oversee the budget, schedule/critical path, and supervise paperwork pertaining to all event tasks. Most importantly ensure that the jobs are profitable based on the desired targets set by the management.
KEY ACCOUNTABILITIES
Events & Promotions: Assist the team in the planning, execution and management of in mall events, in-mall campaigns, CSR & government events, retailer events and launches and special projects. Manage the bump in and out process for each event and communication with the full marketing team. Manage all signage and promotion of event, briefing the agency and manage the installation process. Liaison with external suppliers and Cost Proposals. Locate suitable suppliers to put forward highly negotiated rates to the team. Monitor and supervise print production suppliers, visual merchandise suppliers, contractors, signage production companies, to maximise budgets/visibility.Financial Control: Prepare all the relevant submission on SAP Ariba System such as submitting PR, adding vendor, approval follow-ups, PO collection and record. Monitor budgets by comparing and analysing actual results with plans and forecasts. Obtain all relevant approvals from Marketing Manager on quotes prior to processing and obtain competitive prices within the Market. Ensure that estimates, quotations, LPOs and invoices are raised, paid and payment received so that the department functions smoothly.
Mall guide & In-mall Photography: Responsible for updating Mall Guides/Directory information and sharing with the agency. Coordinating Retail Marketing permissions from suppliers/retailers and press requests – retailers/AC marketing branding job request forms, press photography, filming permissions.
Agency Communications: Work closely with all agencies for the mall and ensure daily updates and pending works are completed. Share the briefing of any marketing requirements to agencies.
Digital Media: Assist the Marketing Team with all website updates on a regular basis with content management and store updates. Monthly monitoring the reports/analysis of the website, and other competitor malls. Monthly retail & Dubai events monitoring i.e. new retailer openings/events in Dubai/new malls opening/ tourism in Dubai updates. Monthly social media monitoring – local and international Facebook and Twitter sites (specified by GM Marketing) for research/idea generation/best practice reviews and creative inspiration.
Database Management: Data-capture of existing & new customer coupons for future email, sms shots & marketing communications. Enter all the data and prepare the requested reports for data charting. Collect database details of all retailers at store & head offices – for marketing electronic memos/newsletter circulation. Responsible of the delivery of all the Marketing collaterals to retailers during events such as tent cards, danglers, posters, etc. Responsible for the printing timeline & installation of signage, hoarding of shops (open/ closed).
QUALIFICATIONS, EXPERIENCE & SKILLS
Minimum Qualifications and Knowledge:
A technical degree or equivalent in Marketing, Retail, Digital media, Print technology, ProductionMinimum Experience:
At least 2 years of experience in a similar role within a production agency or malls.Job-Specific Skills:
