Accountable To
- Coordinating all operational administrative activities. To ensure smooth coordination of administration related activities among the departments as well as provide necessary support to the Line manger to gather information & reports.
- Acts as the focal point for controlling and standardizing all documentation generated within the Company.
Responsible for
Core Responsibilities:
- Co-ordinating all administrative activities pertaining to Operational activities & AD Maritime
- Prepare various reports and action plans derived from internal as well as external meetings.
- The role holder will act as a liaison between different departments within the AD Maritime.
- Ability to coordinate executive meetings and produce minutes of meetings
Working Relationship
- The role holder will be the focal point for liaison with other divisions.
- Assist and guide all departments within the division in document control.
- In charge of maintaining company records and documentation.
- Prepare all outgoing correspondences for Operations team including processing of management approvals.
Objectives and Role Profile
- Enable the administration of procurement activities pertaining to the division in close coordination and liaison with the Corporate procurement department.
- Call for & attend internal meetings, prepare minutes of such meetings and follow up on action plans dervied from the meetings.
- Organize all aspects of travel arrangements for the team.
Key Tasks and Performance Indicators
- Adheres to Safe Working Practices and Standard Operating Procedures
- Adheres to Near Miss and incident reporting as stipulated.
- Tracking department members task and divisional plan
