JOB DESCRIPTION

1. Providing timely support and information to customers’ enquiries and issues; ensuring timely response within the desired service levels.
2. Coordinating with origins, destinations, customers, internal departments to ensure all inspections, certifications, legalizations and special processes for shipments and clients are maintained; increasing levels of customer satisfaction.
3. Preparing and sending the customer with all the SOP’s/Routing order details regarding the dispatch of goods like way bill no., estimated date of arrival, etc. once the shipment has been booked with the carriers. Updating the job file and checking for all relevant documents, chargeable services and costs before forwarding the file to operations.
4. Handling and managing all clients’ claims and disputes from customers; creating reports and highlighting for management reviews; ensuring the claims process is in line with the agreed SOPs.
5. Liaising with Airlines, Sea & land vendors, operations team and Customs as the case may be in order to regularly update the customer on the status of shipments and for the timely receipt of status reports and PODs.
6. Preparing necessary inbound & outbound status reports, stock movement, ageing report, billing and any other reports as required by the Supervisor or customer.
7. Measuring daily and monthly KPI’s and report to Manager; daily following up with internal and external parties for all related costs/charges to be collected and submitted to billing for timely invoicing.
8. Elevating potential problems and opportunities for improvement to Manager.
9. Performing any other related duties/projects assigned by Manager from time to time to meet business exigencies.

JOB REQUIREMENTS

  • Computer Literate with competent skills in Excel and Word.
  • Experience in operating with industry related software
  • Experience in working within a Freight Forwarding environment.
  • Diploma or Graduate in any discipline
  • At least 2 - 3 years experience in a customer services environment.
