Reception
To provide administration and clerical support to the V Group (Dubai) team and ensure all callers are dealt with professionally and visitors are briefed according to Group standards and guidance.Administration
To work with a broad range of internal and external stakeholders, providing the highest level of office administration and professional administrative support.Key Responsibilities and Tasks
Reception:
- Fulfil reception duties, such as answering telephones and meeting and greeting visitors.
- Ensure Visitor Policy and Safety Briefing is delivered to all.
- Send and distribute, as required and in a timely manner, emails, letters, reports, documents, DHL communications, office mail etc., keeping records of dispatch and follow up as necessary.
- Order and distribute office stationery, letterheads and business cards, in adherence with Company guidelines and office budget.
- Ensure that reception area is presentable and open during designated opening hours and securely locked outside of reception opening times.
Administration
- Organising and prioritising a wide range of meetings, workshops and functions at internal/external venues.
- Managing logistics for all meetings i.e. room bookings and additional requirements.
- Arranging global travel for Executives when required, liaising with internal and external contacts for all bookings and meetings and all required visa / passport / itineraries where required.
- To produce letters, reports, presentations, internal memos, file notes to a high standard through the advanced use of appropriate software.
