BAT UAE IS LOOKING FOR A BUSINESS COORDINATOR – UAE
SENIORITY LEVEL: Non-Management Level
FUNCTION: Facilities
LOCATION: Dubai, United Arab Emirates

ROLE POSITIONING AND OBJECTIVES

The role is responsible for assisting and supporting the function where assigned. Assist team members in implementing the agreed strategy and plans through managing and coordinating the day-to-day team key priorities in the most effective and efficient way. To support and assist the Head of Function and ensure functional teams are fully engaged and supported with their queries.

Reports to: Facilities Executive
Reporting Level: Non-Management Level
Geographic Scope: Lower Gulf/MESA Area Office

WHAT YOU WILL BE ACCOUNTABLE FOR

  • Arrange meetings, workshops and conference and business functions as required.
  • Organise induction /co-ordination for new joiners with office settlement (business cards, access cards, desk top, co-ordinating induction meetings)
  • Handle business travel from A to Z
  • Communicate any cross-functional meeting arrangements with the relevant functions and plan for all the set up that is required.
  • Partake in projects as required.
  • Support in organising office activities, office decoration and trips when applicable.
  • Take full control and initiative for any functional wide events, for both internal and external events.
  • Manage the Head of Function calendar.
  • Manage and co-ordinate the administrative procedures with the end market secretaries. Focal co-ordinator for the functional team.
  • Managing calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings
  • Arrange and co-ordinate meetings with key customers, stakeholders and distributors when required.
  • Define develop and manage an efficient functional file both in hard copies and soft copies that are necessary as per the function management requirements and in line with Record management guidelines.

ESSENTIAL EXPERIENCE, SKILLS AND KNOWLEDGE

  • A minimum of Bachelor’s degree
  • Preferably around 3 years’ experience in an MNC
  • Experience in SAP and vendor management plaforms
  • Fully proficient in different administrative and support system
  • Proficient in Arabic, English and computer applications.
  • Lead the complete administration of any assigned projects.
  • Independently handle administrative work and subsequent problems issues when required.
  • A methodical and proactive approach to work and the ability to prioritise work.
  • Influencing and interpersonal skills
