JOB PURPOSE
To provide administrative & technical support to the RD & MS Greater Gulf MCO team
This role requires a high level of administrative skill and technical competence using business applications such as eBuy, Concur, eHats and GEODE. Understanding of and working in accordance with internal SOP’s, especially related to the compliant execution of events with healthcare professionals, along with the complete follow-up of all required documents is central to this role.Strong oral and written communication skills, flexibility and the ability to manage multiple tasks of equal/varying priorities is essential. The ability to maintain a high level of confidentiality is critical.

Responsibilities will include but not be limited to:
- Managing BU marketing related events – eHats, eCaf’s, Speaker Agreement Contracts – liaising with the Medical Team for the Doctors Fair Market Value, Invitation letters to the HCP’s of the event, Sponsorship Agreements with 3rd Parties if there is another vendor involved for events.
- Raising complex PR’s using eBuy.
- Following up with the payment requests with Finance.
- Writing the meeting minutes of the BU meetings
- Archiving documents for events related to the BU.
- Manages multiple, sometimes conflicting, priorities in a fast-paced and demanding environment.
- Provide high level administrative and systems expertise and support
- Coordinates with local teams in the countries planning and logistics.
- Maintains up to date mailing lists for the department
- Takes initiative and independently manages special/administrative projects in dynamic fast paced environment – Monthly reports – IMS / Market Feedback / Joint Visit Reports / other adhoc product specific reports.
- Manage logistics of marketing events and follow up of budget.
- Assist in the preparation of documents – Sponsorship Agreements / Presentations / Flyers for Events.
- Follow-up on training completion – Sales Force related.
- Follow-up on HSE deliverables – Sales Force related.

Education Level
- University Graduate – Administration or Communication
- 5 years of experience in similar role / environment
- Experience supporting commercial activities, ideally in a pharma or biotech environment or other regulated industry.
Skills:
- Fully conversant and proficient in Microsoft office
- Advanced level of written and verbal English
- Excellent interpersonal, organization and communication skills appropriate to a multi-cultural and diverse working environment with advanced writing skills
- Ability to work autonomously
- Strong problem-solving skills that allow to proactively anticipate requirements
- Enthusiastic with a positive outlook and willingness to support with honesty, consistency and reliability
- Successfully interact with a dispersed leadership team, other executive administrative assistants, and customers
