Responsibilities:

  • Performs administrative duties to the standards required to ensure the smooth operation of the Finance Department.
  • Coordinates with related department to ensure an efficient flow of verbal & written communication to and from the Accounting Department.
  • Responsible for the preparation and timely distribution of the monthly Financial Reports.
  • To ensure all licenses (i.e. trade, alcohol, and shops) are updated and are available.
  • Monitors and coordinates the renewal of contracts and maintains records of contracts.
  • Ensure up-to-date hard-copies of department P&P and SOPs are maintained at all times.
  • Acknowledge the receipt of new or amended documents from other departments.
  • Communicate new or amended procedures to relevant departments/ colleagues in a timely manner, ensuring they been understood.
  • Control department forms and records for Document Control.
  • Maintain records of legal documents and liaise with legal advisors as required.
  • To ensure all insurance policies related to Workmen’s Compensation, Vehicle, Property and Medical are maintained, updated and are available. Also send the insurance claims to insurance company and follow up on them.
  • Issuance of notice and memos (after Director of Finance approval) and distribute to relevant departments accordingly.
  • Taking dictation, transcribing, typing confidential documentation, keeping confidential materials.
  • Preparation of minutes of meetings for department meetings.
  • Update of Capex Budgets and coordination of Capex requests to corporate office/Owners.
  • Update the monthly financial reviews and miscellaneous files.
  • To carry out any other reasonable duties and responsibilities as may be assigned.
  • Demonstrate a complete understanding of all finance department policies & procedures.
  • Respond to changes in departmental functions as dictated by the management.
  • Maintain courteous and friendly atmosphere and good working relationships with all colleagues.
