OVERVIEW:
We are seeking an organized, personable, and detail-oriented office coordinator to join our organization in Dubai. You will coordinate various office tasks and functions to ensure office operations run smoothly at all times. Tasks include, but are not limited to, internal administrative coordination, external special projects, errands related to government services, and tracking/maintaining inventories of office supplies.
WHAT YOU’LL DO:
- Support key functions in HR, Accounts/Finance, Legal/Compliance, Client Services, Business Development, and Management
- Help support with bank & govt services including telecom, visa, and all PRO duties
- Screen calls to landline and administer office schedules & calendars
- Follow office policies and workflow procedures. Suggest changes for improvements in efficiency
- Maintain office equipment (i.e. ensure printers and equipment are operational and fully stocked with supplies)
- Make reservations for external and internal meetings and support meeting needs, including sending reminders to ensure attendance
- Maintain the office space’s general cleanliness and organization. Coordinate with cleaning company and other external service providers
- Track and manage orders from couriers, Amazon, etc.
- Maintain vendor & landlord relationships for any needs as they may arise
- Report any updates or pertinent issues that need addressing to relevant management
- Assist with onboarding and set up of new staff
WHAT YOU HAVE:
- Bachelor’s degree in administration, management or related field preferred
- 5+ years working in office administration preferred
- 2+ years work supporting HR, accounts/finance, or legal/compliance
- Computer literate and proficient using Microsoft Suite
- Experience using office machinery (printer, copier, phone systems etc.)
- Excellent customer service skills
- Organized and detail-oriented
- Outstanding communicator in English both verbally and written
- Arabic language skills preferred
