The Department of Family and Community Medicine (DFCM) is recognized internationally for its clinical, educational and research excellence. Our faculty are clinical and academic leaders who are breaking new ground on issues ranging from inner city health, addiction medicine, global health, palliative care, immigrant and indigenous health, and far more.

The Quality Improvement and Innovation program administers project plans for postgraduate and undergraduate curriculum, assists in data collection and evaluation, coordinates professional development and continuous education events and workshops.
As Program Assistant, you will serve as the primary resource for all administrative support to the day-to-day operations of the Quality Improvement and Innovation Program. You will play an integral role communicating with faculty, academic site-based team members, and program stakeholders coordinating logistics for a range of activities, including program delivery, event planning and committee support. Your exceptional organizational and communications skills will contribute to the ongoing success of this program.

Your responsibilities will include:
  • Acting as the first point of contact for program-related enquiries including disseminating program and/or service information and resolving issues within the scope of the role
  • Liaising with students and faculty to coordinate program activities and with internal and external contacts to coordinate the execution of seminars and workshops
  • Analyzing and making recommendations for programming enhancements
  • Determining logistical details and activities for events and/or programming
  • Coordinating meeting schedules, agenda, materials and action items including taking and distributing meeting minutes
  • Maintaining a database and collating and organizing data for presentations and reports
  • Writing routine documents and correspondence including drafting and editing training content, brochures and newsletters and maintaining information on digital platforms
  • Tracking and collecting information on project progress and preparing standard project progress/status reports
Qualifications:
Essential Qualifications:
  • Advanced College Diploma (3 years) or acceptable combination of equivalent experience.
  • Minimum two years of relevant experience, preferably in an academic environment
  • Experience providing administrative support to academic or educational programs
  • Experience providing committee support (including scheduling meetings, minute taking, coordinating agendas, materials and follow up items)
  • Experience coordinating logistics for events, workshops and/or seminars
  • Demonstrated experience managing databases, including maintaining and reporting data sets and data querying
  • Experience supporting multiple projects (i.e. tracking project progress, deadlines, providing updates)
  • Experience independently writing routine documents and correspondence such as newsletters, brochures, handbooks etc.
  • Experience with social media in a professional work setting
  • Advanced proficiency in MS Office Suite, survey tools and content management systems
  • Must have strong communication skills (oral and written) that demonstrate effective and accurate relay of information for knowledge translation
  • Superior organizational and time management skills
  • Ability to interpret requirements and develop processes and procedures
  • Ability to exercise initiative, tact, discretion, problem‐solving skills and to work under pressure to meet deadlines
  • Ability to deal effectively with multiple priorities and projects with conflicting deadlines while maintaining a high degree of accuracy and high quality
  • Ability to work well independently but also as part of a team
  • Ability to work professionally with confidential information

Appointment Type: Budget - Term
Schedule: Full-time
Pay Scale Group and Hiring Rate: USW Pay Band 08 - $54,851 with an annual step progression to a maximum of $70,146. Pay scale and job class assignment is subject to determination pursuant to the Job Evaluation/Pay Equity Maintenance Protocol.
